Privacy Policy

Digital Vexospark NPC, trading as Vexospark Tzaneen Digital College (Erf 1497, Lenyenye, Tzaneen, Limpopo, 0857), is responsible for the personal information we collect through this website, our learning platform and our programmes. We handle it in line with the Protection of Personal Information Act, 2013 (POPIA).

What we collect and why

Applicants. Your name, contact details, age group, gender (optional), province and town, work status, education, how you will access the course, your preferred language (optional), your reasons for applying (optional) and anything you choose to tell us about your support needs. We use this to assess your application, enrol you, contact you, run the course, and give funders totals that don’t identify you.

Enrolled learners. Your login details, course progress, quiz results, completion records and certificate of participation. We use these to run the course, support your learning, issue your certificate, and give funders totals that don’t identify you.

Donors and partners. Your name, contact details and the details needed to issue tax receipts. When online donations are open, payments are handled by our payment provider and we do not store card details.

Website visitors. Limited technical information, and cookies as set out below.

Support needs. This is sensitive information. We ask for it only if you choose to give it, and we use it only to support your learning.

Stories, photos and videos. We will not share a learner’s name, story, photo, video or certificate publicly without that person’s separate written consent. You may withdraw that consent at any time.

Our legal basis

We collect and use your information with your consent, to take steps you have asked for (such as processing your application and enrolling you), and to meet our legal and funder reporting obligations. You may withdraw consent at any time. This will not affect what we did before you withdrew it, and it may mean we can no longer offer you a place or service.

Who sees it

Only our authorised staff can see your application and learner records. We do not sell your information.

We use service providers (called operators under POPIA) to process information on our behalf. These include our website and learning platform provider Moodle and Cybersmart, and our email, messaging and payment providers, such as Google, WhatsApp and PayFast. We have agreements with our operators requiring them to protect your information. Some of these providers process information outside South Africa. When this happens, we take reasonable steps to make sure your information stays protected.

We may share information with funders, but only as totals that don’t identify you. We may disclose information where the law requires it.

How long we keep it

  • Unsuccessful applications: deleted within 12 months of the decision.
  • Learner records: kept for 5 years after the course ends, for funder reporting and audit purposes, then deleted.
  • Donor and tax records: kept for as long as tax and company law require.
  • Records of consent: kept for as long as we hold the related information.

Cookies

Our website uses cookies to work properly, keep you logged in to the learning platform, and understand how the site is used. You can manage non-essential cookies through our cookie settings, and you can also block cookies in your browser, although the learning platform may not work without essential ones.

You may ask us to:

  • tell you what information we hold about you;
  • correct or update it;
  • delete it;
  • stop using it in a way you object to; or
  • withdraw your consent.

Security

We take reasonable technical and organisational steps to protect your information, including password-protected access, restricted staff access and secure hosting. If a security breach puts your information at risk, we will notify you and the Information Regulator as the law requires.
